Here are the volunteer role descriptions and succession planning guide below.
Curator (Volunteer Position)
Reports to: Archivist (interim); CMHS Board (eventually)
Purpose:
Lead efforts to interpret, preserve, and display the Society’s collection for public exhibits and educational outreach.
Key Responsibilities:
- Develop themes for exhibits using items from the CMHS collection
- Design, install, and maintain both permanent and rotating exhibits
- Coordinate with the Archivist, Exhibits Coordinator, and Photo Cataloger
- Help plan special events or exhibit-related programming
- Participate in exhibit documentation and signage
- Suggest ways to increase visitor engagement
- Represent the museum at local community events and public programs
Preferred Skills/Experience:
- Background in museum studies, history, or education
- Experience with exhibit design or interpretive planning
- Familiarity with historical societies or small museums
- Basic computer literacy (MS Word, Google Drive, or similar)
Archivist (Volunteer Position)
Reports to: CMHS Board
Purpose:
Manage and preserve the Historical Society’s archival materials, ensuring proper storage, cataloging, and access.
Key Responsibilities:
- Maintain archival records, both digital and physical
- Ensure accurate documentation in PastPerfect software
- Train and supervise volunteers working on archiving projects
- Respond to research requests from the public and members
- Collaborate with other team members to identify materials for exhibits
Preferred Skills/Experience:
- Background in archiving, library science, or historical research
- Experience with cataloging systems (PastPerfect preferred)
- Comfortable with paper records and basic digital tools
- Excellent computer skills including database entry, scanning, file organization, and proficiency with Excel or similar programs
- Willingness to be mentored by our current archivist
Exhibits Coordinator (Volunteer Position)
Reports to: Archivist (interim); CMHS Board (eventually)
Purpose:
Oversee the physical and logistical side of exhibit creation and maintenance, including setup, display rotation, and upkeep.
Key Responsibilities:
- Assist in mounting exhibits under the direction of the Curator
- Source display materials such as cases, labels, and props
- Maintain exhibit cleanliness and condition
- Handle small repair or layout tasks
- Implement periodic updates to displays
Preferred Skills/Experience:
- Practical skills in mounting displays and working with tools
- Eye for presentation and layout design
- Interest in local history and storytelling
- Strong organizational habits
- Excellent computer skills including photo editing, basic design, and familiarity with Word/Excel
Photo Cataloger (Volunteer Position)
Reports to: Archivist
Purpose:
Identify, label, scan, and organize historical photos in the CMHS collection, ensuring they are properly archived and accessible.
Key Responsibilities:
- Identify subjects, dates, and locations in photo materials
- Scan and label photos using CMHS naming conventions
- Enter data into PastPerfect or assist others with entry
- Cross-check photos against collection records
- Select photos for exhibits or outreach projects
Preferred Skills/Experience:
- Familiarity with photo archiving or digital scanning
- Attention to detail and naming accuracy
- Interest in Costa Mesa history is helpful
- Ability to work independently or collaboratively
Shared Role Expectations
Physical Demands:
Volunteers may occasionally be required to lift and carry boxes weighing up to 25 lbs, move display cases or archival materials, climb small ladders, or assist with exhibit installation and takedown. Some standing, bending, and light cleaning may be involved.
Time Commitment:
Approximately 4–6 hours per week, flexible. Some additional hours may be needed during exhibit preparation, scanning/photo cataloging projects, or for staffing occasional events or outreach booths.
